Conditions of Use for Hirers

These conditions apply to the hire of any part of the centre.
Breach of any condition will automatically result in the cancellation of the booking.

  1. Booking requests must give required dates and times1, the nature and purpose of the event, details of its programme, the likely number of guests and car parking spaces required2. The Centre Management reserves the right to refuse bookings at its discretion3.
  2. The Centre must not be used for promoting any teachings or activities inconsistent with the aims and beliefs of Thornhill Church4. Publicity material for the Hirer's event must be approved by the Centre Management.
  3. Booking forms must be received at the Centre at least 14 days before the hire date, they must be accompanied by a booking a booking form and the required deposit. If all or part of a booking is cancelled by the Hirer less than 14 days before the hire date, the Hirer is liable to pay the full charge for the booking.
  4. No agreement to hire exists until the Centre Management confirms in writing the hiring after receiving the booking form and required deposit. The Centre Management reserves the right to alter or cancel any bookings for reasons outside its control.
  5. Hirers must not assign or sub-let their booking.
  6. Hirers are responsible for the safety and conduct5 of their guests; and for the cost of any damage to the Centre or its contents, caused by them or their guests. Hirers must ensure that the number of their guests does not exceed what is reasonable for their health and safety. Hirers must arrange their own public liability insurance cover. The Centre accepts no liability for personal injury or illness sustained by or to any person using the Centre, or for loss or damage to any property.
  7. Smoking is not permitted at the Centre. The sale or drinking of alcohol is not permitted at the Centre6. No noise is permitted which is audible outside the Centre7.
  8. If the booking involves work with children or young people under 16 years, the Hirer must act in accordance with the Home Office Code of Practice "Safe from Harm".
  9. Hirers are responsible for the administration of First Aid to their guests8.
  10. Hirers must be aware of the position of fire exits, and inform the guests of emergency procedures9. Hirers are responsible for ensuring that all their guests are safely evacuated in any emergency.
  11. Hirers must leave all parts of the Centre used by them in good order and in a clean, tidy condition. Failure to do so will result in extra charges to cover cleaning costs. Hirers and guests must vacate the Centre (including car park areas) on time and in a responsible manner, having regard to others. Failure to leave on time will result in extra charges.

Notes:

  1. Bookings are not normally accepted for more than 12 months.
  2. The Hirer may be required to provide parking stewards.
  3. The Centre will not be let for violent or contact sports.
  4. A copy of the Statement of Faith of Thornhill Church is available at the reception desk in the foyer, and on the Thornhill Church website.
  5. As the Centre is used as a church "sanctuary", appropriate standards of behaviour are expected from all the Centre users.
  6. A dispensation for using alcohol may be requested, but the Hirer must demonstrate to the Centre Management that it will not be abused.
  7. The Centre is not licensed for public entertainment. Bookings for music and dancing are only permissible if they are for a closed organisation (e.g. a club, school or church) where only its members or friends, specially invited, are admitted.
  8. A First Aid box is available at the reception desk in the foyer.
  9. Everyone must leave by the nearest fire exit, and assemble in the car park on the North side of the building to await further instruction.
